The challenge

SATOS Media wanted to move away from an obsolete and bespoke DB system that was no longer fit for purpose.

The DB system was implemented for a different business model and service offering and contained several years of data that SATOS wanted to migrate into their new CRM solution, Pipedrive.  

SATOS Media required Pipedrive experts who could help with system configuration and training, but also had a deep knowledge of Microsoft SQL Server technology, in order to be able to reverse engineer the existing DB and migrate all the required data.

SATOS Media

SATOS Media is a new media company that specialises in building meaningful connections between organisations and professionals in specialist communities and niche markets. They offer cost effective services and solutions through a portfolio of job boards, recruitment events and EdTech brands.

The solution

Following an agreed project plan with key stakeholders, the project kicked off with two workshops with senior management to explore existing sales practices, current gaps and key business needs, with the aim of defining a better, and more agile sales process that could be adopted by the Sales team once the new solution was in place. 

Management was keen to keep data collection to a minimum, gathering only essential information required for managing performance and key business operations, and thus avoiding overloading the team with time-consuming and repetitive data input activities.  

Conduit conducted interviews, and analysed the existing data and DB system to produce the new sales process workflow and a data strategy in line with the business needs. The outcomes of these activities were documented in three key documents:

Clarifies and communicates the key activities and major plans to senior management.

Visualises the customer acquisition and sales process, including main input/output data requirements.

Describes existing and new data mapping between key processes and source systems (MSSQL Server).

How we helped

Outcome

Conduit fully configured Pipedrive to meet all of SATOS’ business requirements, including users and teams’ permissions, Two Factor Authentication, sales pipeline, automation and custom fields 

The quote and sales agreement process was also improved by introducing document templates that are dynamically populated from custom fields in Pipedrive, and can be reviewed by the team before they are sent to clients for sign off. 

All existing data in the obsolete MSSQL Server was exported and cleaned by Conduit before being migrated into Pipedrive.

The project is now live and Conduit continues to be involved with SATOS’ key stakeholders to make sure the team are confident in using the system and it is fully adopted.
